Purpose
WiP Finland ry is a non-profit association dedicated to fostering community, learning, and empowerment among women in procurement. This policy outlines the principles and expectations that guide the association’s activities, interactions, and partnerships.
Guiding Principles
Our mentoring program and all association activities are built on the following core values:
- Mutual Respect: Members and participants are expected to respect each other’s time, perspectives, and boundaries.
- Confidentiality: All shared experiences and discussions are to be kept confidential at all times.

Privacy Commitment
WiP Finland ry is committed to protecting the privacy of its members and participants. All personal information shared within the association will be:
- Handled with care and discretion.
- Used solely for association-related purposes.
- Stored securely and not shared with third parties without consent.
- Managed in full compliance with the General Data Protection Regulation (GDPR) and applicable data protection laws.
All members, sponsors, invited speakers and participants of all kinds are expected to adhere to these privacy principles and respect the confidentiality of others at all times.
Respect for Others
All members and participants must:
- Treat others with kindness, professionalism, and respect.
- Avoid discriminatory, harassing, or offensive behavior.
- Support a culture of openness and constructive dialogue.
Confidentiality & Sensitive Information
Participants must not:
- Disclose sensitive or personal information shared during mentoring sessions or events.
- Use any confidential information for personal, professional, or commercial gain.
- Record or distribute any content from sessions without explicit permission.
- Share any classified, proprietary, or sensitive information from their own employer or organization during association activities, including mentoring, group discussions, or public events.
Maintaining confidentiality is essential to building trust and ensuring a safe environment for open dialogue and learning.
Commercial Use & Sponsorship Policy
WiP Finland ry is strictly non-commercial. Therefore:
- No individual or organization may use our programs, events, or communications for marketing, sales, or promotional purposes.
- Sponsorships are welcome if they align with our values and mission.
- Sponsors may contribute financially or in-kind, but must not use the association for direct advertising or commercial gain.
- All sponsorships require board approval to ensure alignment with our commitment to integrity, inclusivity, and community-building.
Anti-Bribery Policy
WiP Finland ry maintains a zero-tolerance policy toward bribery and corruption. All members and participants must:
- Uphold the highest standards of integrity.
- Avoid offering, giving, or receiving any form of bribe or unethical incentive.
- Report any suspected unethical behavior to the board immediately.
Sustainability Commitment
WiP Finland ry is committed to promoting sustainability and environmental responsibility across all its activities. Members and participants are encouraged to:
- Minimize waste and prioritize eco-friendly practices during events and operations.

Responsible Use of AI
WiP Finland ry acknowledges the growing influence of artificial intelligence (AI) in professional and community contexts. To ensure ethical, inclusive, and responsible use of AI technologies, members are encouraged to follow these principles:
- Align with Core Values: Use AI tools in ways that reflect the association’s commitment to integrity, transparency, and inclusivity.
- Apply Critical Judgment: Review AI-generated content and decisions thoughtfully. Avoid relying solely on AI for sensitive, strategic, or high-impact matters.
- Protect Personal and Confidential Data: Do not input personal, confidential, or proprietary information into AI systems.
- Support Human-Centered Practices: Ensure that AI use in mentoring, communication, or event planning complements—rather than replaces—human judgment, empathy, and accountability.
- Stay Informed and Independent: WiP Finland ry does not endorse or promote any specific AI tools. Members are encouraged to stay informed about the ethical implications of emerging technologies and make independent, informed choices.
Membership & Participation Policy
Eligibility
Membership in WiP Finland ry is open to individuals who support the association’s mission of empowering women in procurement. Participation in programs and events is voluntary and inclusive, regardless of professional background, or experience level.
Membership Types
The association recognizes the following categories of membership:
- General Members: Individuals who join the association to participate in events, discussions, and community activities.
- Board: Members who contribute to the governance and operations of the association.
Participation Expectations
All members and participants are expected to:
- Actively engage in association activities with respect and openness.
- Follow the association’s policies and values.
- Communicate respectfully and professionally with others.
- Refrain from using association platforms for personal or commercial promotion.
Code of Conduct
Participation in WiP Finland ry requires adherence to the following conduct:
- Respect for diversity and differing viewpoints.
- Commitment to confidentiality and privacy.
- Zero tolerance for harassment, discrimination, or unethical behavior.
Termination: Membership may be revoked for violations or misuse.
Joining & Leaving:
- Register through official channels.
- Additional registration may be required for specific programs.
- Members may leave at any time by notifying the board.
- Membership fees are non-refundable upon leaving.
- No prorated fees or discounts for mid-term joining.
Enforcement & Reporting
Violations of this policy may result in removal from the program or association. Concerns or breaches should be reported confidentially to the board for review and appropriate action.
Association Term
The association term is from October 1st to September 30th.
